Refund Policy

Summary

Our consulting fees are generally non-refundable once processing has begun. Government and third-party fees (Dataflow, Prometric, authority fees) are never refundable through us, as they are paid to external organizations. If a service has not been rendered or commenced, a refund may be issued at our discretion.

1. General Refund Policy

Due to the nature of healthcare licensing consulting, where significant work begins immediately upon engagement (document review, eligibility assessment, application preparation), our consulting service fees are generally non-refundable once processing has commenced.

We invest substantial time and resources from the outset — reviewing your credentials, assessing eligibility against authority requirements, preparing documentation, and coordinating with regulatory bodies. This work cannot be undone or recovered once started.

2. Before Processing Begins

If you cancel your engagement before we have commenced any work on your application:

  • A full refund of consulting fees may be issued, subject to an administrative processing fee of up to 10% of the total service cost.
  • Cancellation must be made in writing via email to support@neelim.com.
  • Processing is considered to have begun once we initiate document review, eligibility assessment, or any preparatory work for your application.

3. After Processing Has Begun

Once we have commenced work on your licensing application, fees are non-refundable. This includes situations where:

  • Your application is denied by the regulatory authority
  • You decide not to proceed with the application
  • You fail the required Prometric examination
  • Your Dataflow verification reveals discrepancies
  • Your employer or visa sponsor changes or withdraws
  • You choose to apply with a different authority or country
  • Regulatory changes affect your eligibility after application submission

4. Exception: Service Not Rendered

In the rare event that we are unable to provide the agreed-upon service due to circumstances entirely within our control, we will offer:

  • A full refund of consulting fees for the specific service not rendered
  • Alternatively, credit toward another service of equal or lesser value, at the Client's preference

This exception does not apply to circumstances caused by regulatory authority decisions, third-party delays, or factors beyond our control.

5. Government and Third-Party Fees

Government and third-party fees are strictly non-refundable.

The following fees are paid directly to external organizations and are entirely outside our control. We cannot issue refunds for these charges under any circumstances:

  • Regulatory Authority Fees: Application fees, license fees, and processing fees charged by DHA, DOH, MOHAP, DHCC, SCFHS, QCHP, NHRA, MOH Oman, MOH Kuwait, or any other authority.
  • Dataflow PSV Fees: Primary Source Verification fees charged by Dataflow Group.
  • Prometric Examination Fees: Exam registration and scheduling fees charged by Prometric.
  • Other Third-Party Charges: Courier fees, attestation charges, translation fees, or any other third-party costs incurred during the licensing process.

For refunds on government or third-party fees, Clients must contact the relevant organization directly.

6. Partial Services and Package Changes

If you wish to change your service package after payment (e.g., switching from a new license to a transfer license), we will accommodate the change where possible:

  • If the new package is of lower value, the difference will be credited toward future services rather than refunded.
  • If the new package is of higher value, you will be required to pay the difference.
  • Package changes are subject to approval and may not be available once significant work has commenced.

7. Refund Process

To request a refund where eligible:

  1. Submit your request in writing to support@neelim.com, including your full name, service package, and reason for the refund request.
  2. We will review your request within 7 business days and respond with our decision.
  3. Approved refunds will be processed within 14 business days to the original payment method.
